About My Account

My Account provides a simple and efficient way for you to view and manage your Manheim auction account.

With My Account you can:

  • View vehicle histories
  • Create block summaries
  • View auction account balances
  • Submit online payments
  • Request title and arbitration status change notifications

 

Login Help

How do I activate My Account?

First time Manheim.com users will need the following information to access My Account:

  1. The existing Manheim.com username and password to be activated for My Account
  2. Contact information
  3. AuctionACCESS Number
  4. State Dealer License # and/or Federal ID #
  5. Canadian dealers will need a Social Insurance #

I forgot my Manheim.com My Account password.

If you have forgotten your Manheim.com password, you may use the Forgot Your Password form to change it.

Whom can I share my Manheim.com My Account password with?
Manheim.com My Account will permit access to all of your financial information. Please be aware that whomever you share your password with will have complete access to all of your Manheim.com financial records.

Why was I suddenly logged out of Manheim.com?

To ensure that your account is secure, Manheim.com will log you out of My Account after an extended amount of time. After you are logged off, you must reenter your password to access information.

 

Auction Balance

An auction balance covers purchases made at all Manheim auctions nationwide, including vehicles and non-vehicle A/Rs. The items being monitored include all purchases for which you have not submitted a payment. If a payment is submitted through My Account and successfully posted, the auction balance will refresh automatically.

 

Administration

What is the Administration section used for?
The Administration section has two functions. If you have administrative privileges, you can manage all the users at your dealership for My Account. This includes changing passwords and setting user roles. The second function is Manage Preferences, which all users can access. Here users can select the fields they wish to be displayed on Balance Detail pages.

How do user roles differ?
User roles only have relevance if your dealership has been activated for online payments. The roles are as follows:

  • Create Payments: A user with this status can create an invoice for online payments, but is not able to submit them for payment.
  • Submit Payments: A user with this status can both create and submit online payments.
  • Looker: A user with this status can neither create nor submit online payments. A looker can only view information in My Account.

Can we have more than one user set up with administrative privileges?
Absolutely, but keep in mind that a user with administrative privileges has access to view and/or change all other user's information, including other users with administrative privileges.

What is the Manage Preference page?
On this page, you can select to be notified of all title status and arbitration status changes for your vehicles. To save your selections, you must click Update before you exit this page.

 

Vehicle History 

What is the difference between a VIN Search and a Vehicle History Search?
A VIN Search will display all vehicle history data for vehicles with the last eight (8) digits matching your search criteria. This search is performed across all auctions and dealer accounts associated with your login. Once the last eight digits of a VIN are entered, click Get Report and the VIN Search will generate a vehicle history for any vehicles that match the criteria. If no results are found, a red No Results Found message will appear on the page.

By selecting criteria from the advanced Vehicle History section, you can more specifically focus your search. You may define your search with the following:

  1. Auction: Location of the vehicle.
  2. Dealer Number: Account in which vehicles were bought or sold under. Please note that some accounts have multiple dealers listed.
  3. Show Data for Buyer/Seller: Sort your search by vehicles either bought or sold or to be sold by the dealer.
  4. Transaction/Title/Arbitration Status: Various selections are populated based on Buyer/Seller and Search By selections as listed below.
  5. Date Range: Manheim.com's Vehicle History Report allows you to view past results for any date range you specify.

How do I read the Buyer/Seller Vehicle History Detail Page?

The Vehicle History Detail page will help you review your Manheim.com vehicle accounts in the finest detail. This page displays a detailed breakdown of a specific vehicle in the following tables:

  1. VIN: The complete Vehicle Identification Number.
  2. Make: Make of the vehicle.
  3. Model: Model of the vehicle.
  4. Color: Vehicle's color.
  5. Engine: Engine type code.
  6.  Body: Body style code.
  7. Universal Key: The universal key is used to identify the transaction for this vehicle. The key number is a composite of year, sale, lane and run numbers as follows: yyyy-ssss-ll-rrrr.
  8. Registered in Sale: The date of the sale for which the vehicle is/was registered.
  9.  Sale Date: The date that the vehicle was sold.
  10. State: State in which the vehicle is titled.
  11. Title Sent to Dealer: Date that the vehicle title was sent to the dealer.
  12. Title Received by Auction: Date that the auction received the vehicle title.
  13.  Dealer Number: Dealer number that pertains to the user viewing the information.
  14. Dealer Name: Dealer name that pertains to the user viewing the information.
  15.  Address: Address that pertains to the user viewing the information.
  16.  City, State, ZIP Code: Addressing information that pertains to the user viewing the information.
  17.  Sale Price: Vehicle sale price not including fees.
  18.  Buying Fee (for Buyer only): Fees charged to buyer by auction.
  19. Draft Fee (for Buyer only): When auction receives fee for running paperwork through a financial institution instead of dealing directly with dealer (due to credit worthiness).
  20. Other Miscellaneous Fees (for buyer only): Other miscellaneous fees that an auction would charge dealer.
  21. Adjustments (for buyer only): Any adjustments to the account. (credits/debits, etc.)
  22. Sale GST (for buyer only): Goods and Services Tax charged to dealer. (Canada only)
  23. Dealer GST (for buyer only): Goods and Services Tax charged to dealer (Canada only)
  24. Buyer's Net (for buyer only): Sale price minus any fees withheld by auction.
  25.  Selling Fee (for seller only): Fees charged to seller by auction.
  26.  Titles Fee (for seller only): Fee charged for title (ownership) transfer.
  27.  Prime Number Fee (for seller only): Premium fee charged seller for "prime" lane numbers.
  28.  A/R Amount (for seller only): Accounts Receivable amount.
  29. Dealer-Recon (for seller only): Reconditioning fee collected by seller.
  30. Recon Amount (for seller only): Recondition fee should be charged to the seller or consignor, not buyer.
  31.  Seller's Net (for seller only): Sale price minus all associated sell fees applicable to seller.
  32.  Buyer's Check Number (for seller only): Check number issued to seller.
  33. Check Issued (for seller only): Date check was issued to seller.
  34. Check Cleared (for seller only): Date check cleared. (by seller)
  35. Check Voided (for seller only): Date check was voided.
  36. Canadian GST: Goods and Services Tax charged to dealer. (Canada only)
  37. Certified Fee: Fee charged seller for certification (e.g. Manheim Certified).

How do I read the Buyer/Seller Vehicle History Results page?
The Vehicle History Results page will list all vehicles matching the selected criteria. By selecting links on the title bar of this page, you can personalize and redefine the results table by Date Range, Status, Auction, and Dealer Number. The Vehicle History Results page will enable you to view the following data:

  1. Details: This column contains a link to the vehicle detail page for the transaction.
  2. The Last 8 of VIN: The last 8 characters of the Vehicle Identification Number.
  3.  Year: Year of the vehicle.
  4.  Make: Make of the vehicle.
  5. Model: Model of the vehicle.
  6. Color: Color of the vehicle.
  7. Sale Status: The status of the vehicle for the transaction
  8.  Sale Date: Auction sale date for the transaction.
  9. Lane Number: Auction lane number for the transaction.
  10. Run Number: Auction run number for the transaction.
  11. Title Status: Current status of the vehicles title.

What do the "Data Not Avail." values mean?
"Data Not Avail." is shown when there is not enough information to provide a value for that item. When the information becomes available, that item will be populated with the appropriate value.

 

Block Summary

What is the Block Summary Search?
Block Summary Search allows you to search the auctions you are registered at for your reserved runs in an upcoming sale.

How do I read the Block Summary Search?
By selecting the auction, your dealer number and sale date, the run numbers reserved in your name will be displayed. In addition to your run numbers, if you have registered vehicles, the details will also be displayed. You can sort the block summary by selecting any of the columns, such as:

  1. Lane/Run: The lane/run that has been reserved under your dealer number for an upcoming sale
  2. VIN: The last 8 characters of the Vehicle Identification Number
  3.  Year: Year of the vehicle
  4. Make: Make of the vehicle
  5. Model: Model of the vehicle
  6. Mileage: Amount of miles on the vehicle
  7. Color: Color of vehicle
  8.   Floor Price: The least amount you plan to sell the vehicle for
  9. Condition: Information concerning the vehicle's condition entered by the auction
 

My Account Balance

The wrong name or address is listed under "Dealer."
If the wrong name or address appears on your account page, please call Manheim Customer Care at 1-866-MANHEIM (626-4346).

What is the Auction Listing?
This page details your outstanding balance by auction. To view your financial date on a more specific level, click on one of the outstanding balances.

What is the Account Balance for a specific auction?
The Account Balance for a specific auction provides information such as VIN, make, model, year, and amount.

What is Dealer A/R?
Dealer Accounts Receivables are miscellaneous charges incurred at the auctions but not billed against a particular vehicle.

How do I read the Balance Detail pages?
The Balance Detail pages are separated into Auction Balance Detail and Dealer A/R Balance Detail. By clicking on one of the outstanding amounts for these sections, you can view the individual items that make up the total balance due. You can sort these pages by clicking on any of the column headers.

 

Online Payments

How do I read the Open Payments?
The Open Payments page consists of two different statuses for payments. First are payments with an Open status, which are payments that have been created but not submitted to the bank. Second are payments with a Pending status, which are payments that have been submitted for payment and are awaiting processing at the bank. Once a payment has been submitted and is in Pending status, you cannot make any changes or delete the payment.

  1. Date Created: The date the invoice was created.
  2. Payment Status: Displays whether a payment is in an Open or Pending status. This is a link that will take you to the Online Payment Detail page.
  3.  Payment Number: A sequential number of the payment made. This is a link that will take you to the detail page of the invoice.
  4. Description: This is a text field where you will enter your own description of the invoice.
  5.  Amount Due: Total amount on invoice user has created.
  6. Checkbox: Lets you select an entire Open invoice to delete. Pending payments cannot be deleted.

How do I read the Closed Payments page?
This page contains invoices that have been been submitted for payment and funds have been requested from your bank account. The page includes the following items:

  1. Date Submitted: The date you submitted the invoice for payment.
  2.  Payment Date: The date the invoice will clear your bank account.
  3. Payment Number: A sequential number of the payment made. This is a link that will take you to the detail page of the invoice.
  4. Description: The text you entered to describe your invoice.
  5. Amount Paid: Total amount on invoice you have paid.

How do I read the Online Payments Detail page?

  1. Date Created: The date the invoice was created.
  2. Payment Number: A sequential number of the payment made.
  3. Description: A text field where you can enter or change your own description of the invoice for Open payments. This field cannot be changed for Pending or Closed payments.
  4. Payment Total: Total amount of invoice, including line items that have been paid.
  5.  "Add To This Payment" Button: By clicking on this button, you will be taken to the account balance page. From here you can add additional line items to an open invoice. Additional line items cannot be added to a Pending or Closed invoice.
  6.  "Create New Payment" Button: By clicking on this button, you will be taken to the account balance page. From here you can create a new invoice.
  7.  Checkboxes: By clicking in the check boxes, you can select items to remove from an open invoice. Then click Update. Items cannot be removed from a Pending or Closed payment
  8.  "Continue" Button: Lets you submit an open payment.

When are payments debited from my bank account?
Payments submitted online will be debited out of your bank account the following business day, if submitted before 9pm ET. If payments are submitted online after 9pm ET, the payment will be debited from your bank account in two business days.

This includes all vehicles without a title.

How do I change my bank account information?
To change your bank account information, please contact the Dealer Registration office at any Manheim location, or call AuctionACCESS at 1-800-665-2133.

 

ACH Payments

Automated Clearing House (ACH) is an electronic network for financial transactions in the United States that processes large volumes of credit and debit transactions in batches. This means you can link a bank account to your Manheim.com profile, allowing you to make or receive payments electronically via ACH. You will have the ability to select this option on a one-time or automatic basis. ACH payments are secure and confidential.

How do I Set Up ACH as a payment method on Manheim.com?

There are several actions you must take to use ACH as a payment method on Manheim.com:

Ensure your bank account information is registered at AuctionACCESS. Please contact your Dealer Registration team at an auction for assistance with this.

  • If you already have bank account information registered at AuctionACCESS, your Dealer Registration team can verify it.
  • If you need to register bank account information at AuctionACCESS for the first time, or would like to register a new bank account, your Dealer Registration team can help.
  • To speed up this process, download and complete a Bank Authorization Letter, have it signed by an Authorized Signer (owner/officer/manager), and bring it to the Dealer Registration team at an auction along with a voided check.

            Please call Customer Care at 866-626-4346 if you need assistance contacting your Dealer Registration team.

Confirm that your bank has the following ACH Company IDs on file for your account to prevent unwanted returns. Based on the site where the transaction originates, it may be processed through any of the following company IDs:

Confirm that your bank has the appropriate debit filters turned off for transactions with Manheim.
Login to Manheim.com and set your preferences to begin making ACH payments.

  • You can make a one-time payment using ACH
  • You can set your preferences for automatic payments using ACH

Why Does Any of This Matter?
As an ACH Originator, Cox Automotive/Manheim Auctions has no way of knowing if our buyers have a block or filter set up on their account. As a result, we must rely on you, the account holder, to set up the proper authorizations with your bank prior to using ACH as a payment method on Manheim.com. If the proper set-up is not in place, the payment transaction will be rejected and the invoice will remain open. This could result in late charges on amounts owed or other fees in accordance with our policies.

Important Terms to Understand

If you plan to use ACH as a payment method via Manheim.com (Cox Automotive/Manheim Auctions), please take the time to become familiar with the terms below.

  • Cox Automotive/Manheim Auctions: The Company (aka ACH Originator) who submits the ACH debit transaction to your bank for purchases made through Manheim.com. You will see Cox Automotive/Manheim Auctions or one of our affiliates as the name listed on your bank statement for purchases made at Cox Automotive/Manheim Auction location.
  • ACH Company ID:The 10-digit unique number assigned by the originating bank to identify each ACH Originator. This number must be provided to your bank to allow a company to debit or credit your bank account if you have an ACH Debit Filter (see below).
  • ACH Debit Filter: Permits your bank to automatically reject all unauthorized ACH items for a designated account. If a company is not authorized to debit or credit your account, your bank will prevent the transaction from posting, which results in a returned item. If you plan to use ACH as a payment method on Manheim.com (Cox Automotive/Manheim Auctions), you will need to make sure any “debit block” or “debit filter” on your company’s account has been updated to allow for ACH debits initiated by Cox Automotive/Manheim Auctions.
  • Authorized Account Holder: Individual authorized to perform transactions or make decisions on behalf of an account. Authorization is provided through signatures placed on file with the bank or company managing the account.
 

Rejected Payments

The Rejected Payments tab lists the invoices that a user has authorized debits from their banking account, but the payment was returned within the last seven days. A user is able to view the reason why the payment was rejected and is given instruction on how to create a new payment.

 

Status Notifications

A listing of Vehicle Status Change notifications pertains to vehicles in your Notify Me list that have had a status change. Status change messages can be deleted by selecting the checkbox in each row of this list and then clicking on the button at the bottom of the list. Messages that have not been removed by the user will automatically be deleted 30 days after the message has been sent. Removing items from this list will not affect future notifications for that vehicle.

 

Notify Me

The Notify Me page contains a list of vehicles selected for status change notification. Notifications can be removed from the list by deselecting the checkbox in each row of this list and then clicking Update at the bottom of the list. Removing items from this list will cause notifications for that vehicle to discontinue. Status notifications will continue for 30 days after the vehicle was entered into the notification list, unless manually turned off.

To update the email address where the messages will be sent, enter the new email address in the default email box at the top of the page, then click Update. To update the email address where the message will be sent for a particular vehicle, enter the new email address to the right of the vehicle, then click Update.
